Posting timesheet in ADMINISTRATION TASKS

HI everyone,

I was wandering what is the posting in S/4 HANA Cloud for time sheet recording as a administration task (Example = I'm an employee and enter working time on 2019-02-07 for 2 hours in Administration task (task type as default by SAP). 

The further I could go to understand is in SSCUI ID 101864, however I don't know which GL account/cost centre will be affected.

Hi Guillaume,

This is a statistical posting and will not affect a GL-account/cost centre. The thought behind it is that personell cost for these tasks will already be posted to the cost center of the employee when you post the payroll transactions.

If you need GL-posting for internal hours you can set up internal projects.

If the personnel cost for these tasks will be posted to the cost center of the employee when you post the payroll transactions, is there a way a controller/manager can analyse the cost of all non-project tasks ?

Example :

I'm an employee and enter working time on 2019-02-07 for 2 hours in Administration task, 3 hours in Training task and 1 hour in Travel task (all SAP standard task type). If I understood correctly, for all those 6 hours of non-project tasks, there will be no affect on a GL account / cost center and when posting payroll transactions, there will be 6 hours posted in the employee cost center.

At the end of the month, my manager wants to analyse all project and non-projects time recording for 2019-02-07. Will he be able to see that the costs of 2 hours in Administration task, 3 hours in Training task and 1 hour in Travel as been posted on the employee cost center or will he only see the 6 hours of non-project tasks (no subdivision by task type) ? What app does he use for this analysis ?

Hi Guillaume,

When you use the administrative tasks you can not specify the cost per task. When you post hours on a projects the cost center gets the 'coverage' (don't know if this is the correct financial terminology) of the personell cost. Since payroll is only posted once every month the only way to determine the cost spent on administrative tasks is to report the 'uncovered' costs on the cost centers at month end. The hours spent on this can be reported from the timesheet CDS views and can give you that in number of hours but not in how much money was spent.

If you really want that, should should not use the administrative tasks and open up internal projects and make work packages for the internal activities. We've done it that way and we even report sickness and holiday on internal projects besides the admin, training and travel you mention. We also had internal work packages for pre-sales and product development.
