I need to know, how are overtime of employees handled in timesheets?

Hello Mayor,

As of 1905 we have new feature that supports the management of overtime for employees. With this feature, you can record, approve, calculate the price for, and bill overtime hours that are performed by consultants and other employees in the context of project-based services. To enable this, the system must be configured to handle different overtime categories (for example, to differentiate extended weekday hours from weekend hours) and cost rates. Accordingly, please visit the app 'manage your solution' and application area HR to configure the time-sheet profile for employees.

The new functionality for overtime management is delivered as an end-to-end process. With this innovation,

consultants can record time using the new overtime categories in the timesheet, which must be configured first. The overtime process can only be triggered by the consultant performing the work, who ultimately decides which category to record time against. It is subsequently included in the approval and billing process.

The overtime category is included in the approval process for recorded working times through the My Inbox

app. Similarly, the project manager sees the overtime hours and category when releasing the billing proposal in the Release Billing Proposals app. In case the overtime that a consultant has performed is linked with additional charges to the customer, the overtime category can also be found when setting service prices through condition types SOV1 and SOV2, which act as a surcharge. In the billing proposal, the overtime recordings are visible as separate line items. To make these visible on the final invoice, the invoice output form must be adjusted accordingly. To give an example, if a consultant records regular working time, working time on a weekend, and working time on a public holiday, this would be visible on the invoice in three separate line items.

Thank you so much for the detailed explanation, I have tested the case for overtime and very satisfied with the result.

Just want to know that where will the overtime rates be maintained, is it the same way how we maintain cost rate or is there any other way.

Hi Tamlyn,

Yes, when the employee maintains her/his timesheet and specifies the overtime category configured, this overtime will appear for the approval of the PM and post a new line item in the billing proposal with the corresponding price setup for condition types SOV1 and SOV2 which are different from the standard project prices that correspond to timesheet entries not recorded with an overtime category.

Hi , when time is captured by the individual does the hours recalculate and post accordingly to the overtime amount. i.e if I have a standard price setup for an employee and then I maintain the S0V% condition table for OV2 - at 200% when time is captured does is calculate and post the new value?

Hi Feras,

Thank you for the detailed answer. We use SuccessFactors for HR. Would it be possible to send the overtime hours back to SuccessFactors to be used in the payroll?

Hi esmee ,

Thank you for the feedback. This is a tricky question because it is really customer specific requirements given the the configuration of the source HR system may vary. First, I am not sure if this requirement is supported as a part of JB1 becuase the overtime category is a time-sheet attribute and not an attribute of the employee/organizational master data.Hence, the problem is to sync times from S4HC timesheet with the work-schedule/timesheet information of SFSF EC.

Going the custom integration route, what I could tell you is, you could certainly report on the overtime hours in S4HC and expose this information as an OData service to be used in writing back hours into SFSF EC. I think its important to asses the capabilities of the web-services you have to writing the data back to SFSF EC.
